Job Summary

The North Carolina Community College System (NCCCS) is hiring a highly organized and tech-savvy Executive Assistant II to serve as the Operations Coordinator to the State Board. This remote-first role plays a central part in supporting the NC State Board of Community Colleges (SBCC) by coordinating executive meetings, handling logistics, managing documents, and assisting in key decision-making processes.

This position is perfect for individuals who excel at multitasking, supporting senior leadership, and ensuring seamless operations behind the scenes.

Key Responsibilities

State Board Coordination

  • Plan and manage all logistics for monthly Board and committee meetings (in-person and virtual).
  • Coordinate venues, catering, travel, guest lists, speakers, supplies, and live-streaming.
  • Prepare and distribute agendas, meeting materials, and minutes to Board members and staff.
  • Ensure meetings comply with NC public meeting laws and accessibility standards.

Internal Office & Technology Management

  • Oversee day-to-day technology and office operations of the State Board Office.
  • Utilize tools like Microsoft Office Suite, Zoom, Teams, YouTube, DocuSign, and Adobe Pro.
  • Organize, manage, and maintain electronic and physical filing systems.
  • Handle website content updates related to meetings and public materials.

Education & Experience

You can qualify through any of the following combinations:

Bachelor’s Degree in Business Administration or a related field + 2+ years of executive-level admin experience
Associate’s Degree in Business or Secretarial Sciences + 4+ years of relevant office management experience
High School Diploma/GED + 6+ years of progressively responsible admin/office experience

Preferred Skills & Competencies

  • 3+ years of experience supporting C-level executives or government boards
  • Strong knowledge of meeting coordination, logistics, and event planning
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, Zoom, Teams
  • Skilled in budget tracking, expense reporting, and managing spreadsheets
  • Excellent written and verbal communication skills
  • Experience managing public-facing documents and records
  • Ability to multi-task, prioritize, and work independently in a fast-paced environment
